This page explains how to book an immigration consultation at the M2W office. Use the filter to view the section for customers or for M2W staff.
Part 1 · For customers — How to book
Booking takes just 1–2 minutes in 2 steps.
Step 1 — Pick a time slot on the calendar
- Go to the Book a consultation page on the website.
- On the calendar, pick an available date — a cell marked "N slots left". Greyed-out cells are days off or fully booked.
- After tapping a date, the system shows the 90-minute slots. Choose one marked "Available".
The office works Monday – Saturday, 4 slots a day: 09:00 · 10:30 · 13:30 · 15:15.
Step 2 — Fill in your details & submit
- Enter your full name, phone number and email.
- Choose the adviser you want to meet (optional) and note your occupation / case situation if any.
- Press "Submit booking request".
After you submit
- The screen confirms your request was received. An M2W adviser will contact you to confirm the slot by phone or email.
- Once confirmed, you receive a confirmation email with a calendar file (.ics) to add straight into Google / Outlook Calendar.
- About 24 hours before the appointment, the system sends a reminder email.
- Arrive on time at the office, bringing documents related to your immigration case for specific roadmap advice.
- Each request is held for up to 48 hours; if it is not confirmed within that time, the slot reopens for others.
- If someone else books the same slot at the same time, you will receive an email inviting you to pick another slot.
- To change or cancel: call the hotline or simply reply to the confirmation email, and an adviser will help.
Part 2 · For My Second World staff — Managing bookings
Admin area: WP-Admin → "Bookings" menu. The number of pending requests shows on the badge next to the menu name.
Handling a booking request
In the list you can filter by status (tab) · adviser · date range, and search by name · phone · email. Each request has action buttons:
- ✅ Confirm — lock the appointment; the system auto-sends a confirmation email +
.icscalendar file to the customer and notifies the chosen adviser. - 🔄 Reschedule — pick a new slot (must be available); the system sends a reschedule email.
- ❌ Cancel — cancel the appointment; sends a cancellation email to the customer and reopens the slot.
- ✔ Consulted / 🚫 No-show — close the case after the appointment (used for statistics).
Appointment statuses
| Status | Meaning |

| Pending | Customer just submitted a request, slot held temporarily — awaiting adviser confirmation. |
| Confirmed | Appointment locked; confirmation email + calendar file sent to the customer. |
| Consulted | Customer attended and completed the consultation. |
| No-show | Customer did not attend the booked appointment. |
| Cancelled | Cancelled by staff/customer, or auto-cancelled after the 48-hour hold expired. |
| Slot clash | Two people chose the same slot — needs manual handling: contact the customer to re-pick. |
Managing advisers
- Add / edit adviser: name, title, email, phone number.
- Show / hide — only advisers set to "on" appear in the customer's picker.
Settings
- Editable in Settings: the hold time (default 48 hours), the reminder timing (default 24 hours before), and whether to remind customers.
- Office address + Google Maps link — fill in to show in the confirmation email and the booking page.
- Public holidays — add so the calendar auto-hides those days.
- Time slots & working days — adjust directly in Settings: tick working days (Mon–Sun) and edit each shift's start/end time (default 4 shifts of 90′, Mon–Sat).
What the system does automatically
- Auto reopens the slot of "Pending" requests left unconfirmed for over 48 hours.
- Auto sends a reminder email to the customer about 24 hours before the appointment.
- If Telegram is enabled (in M2W Leads): notifies immediately when a new request comes in and when an appointment is near.
Reports & customer tracing
Menu "Bookings → Reports":
- Statistics: total appointments, counts by status, close / cancel / no-show rates; appointments by adviser, by month, by slot.
- Customer source tracing: where the booking customer came from (UTM source), device, entry page — taken from the linked lead. The "recent appointments + source" table links out to open the lead for details.
- Fill in the office address + Google Maps link in Settings.
- Add at least 1 adviser and enable display.
- Check the mail-sending config (M2W Leads → SMTP) so confirmation/reminder emails reach customers.
